Working with Regions - Auto Arrive/Depart Dispatch Settings
Note: Some of the options described are purchasable and may not appear. Contact your Roadnet Technologies sales representative for more information about acquiring additional features.
Each organization or area for which you create routes is referred to as a region; you set up separate regions for each depot. A region is a division within a business unit. It is your responsibility to designate a business unit and region for each order. There can be 1 or more regions in a business unit and they are unique within a business unit. For example, you could have one region be Baltimore and another region be Washington, D.C. Each region can have its own default settings, such as equipment type, that will be used throughout the region. To change a region, see Changing a Region and Business Unit for more information.
The Auto Arrive/Depart window for the region allows you to enable the use of auto arrive/depart with mobile devices or Telematics and set related options. The auto arrive/depart feature allows mobile and Telematics devices to automatically detect when a worker is at a stop so that workers don't have to press any buttons when arriving and departing. An automatic arrival occurs when a worker enters a service location's service radius while also meeting certain specified criteria. After arriving at a stop, an automatic departure occurs once the worker leaves the service location's service radius. There are several additional options related to the Auto Arrive/Depart Mode that you must set when the Auto Arrive/Depart feature is enabled.
When using this feature with a mobile device, workers can still manually press the Arrive and Depart buttons to arrive and depart stops if needed. The mobile device must be on the In Transit screen for an automatic arrival to occur and on the At Stop screen for an automatic departure to occur. If the worker is on any other screen, such as when looking at a stop's details, no automatic arrivals or departures will occur.
Notes: It is essential that your locations are accurately geocoded before using the Auto Arrive and Depart feature. It is also recommended that Auto Arrive/Depart only be used by organizations with stops that are physically distant from each other and that have lengthy service times.
The settings on this page affect how the auto arrive/depart feature will function.
If you want the region to use the setting from the region at the level above, instead of using an override, click the
Remove Override icon. The Remove Override icon is only visible if you are using hierarchy management for settings that have an overridden value.
- Click the Dispatch Settings tab. The Dispatch Settings page opens.
- Click the Auto Arrive/Depart tab to enable auto arrive/depart and set the options for that feature.
- In the Minimum Stop Time field, enter the length of time a worker’s truck must be stationary while within a stop’s delivery radius for an automatic arrival to occur. This setting is used to reduce the number of false arrivals at a destination. Enter the length of time in HH:mm:ss format. The default setting is 3 minutes.
Notes: To be considered stationary, a worker must meet the Stationary Positions criteria set on the Region - General Mobile Device Settings page.
Use Minimum Stop Time For Destination Arrival must be checked for the Minimum Stop Time to be used for automatic arrival at destination.
- In the Minimum Unknown Stop Time field, enter the length of time a worker's truck must be stationary while outside any stop delivery radiuses before an unplanned stop is created and automatically arrived. This setting is used to reduce the number of false arrivals. The default setting is 3 minutes.
Notes: This option applies only if you use Telematics devices.
To be considered stationary, a worker must meet the Stationary Positions criteria set on the Region - General Mobile Device Settings page.
- In the Minimum Route Duration field, enter the percentage of the route’s minimum run time, after it has started but before it has entered the destination’s delivery radius, that must pass for the route to auto arrive. The Minimum Route Duration must be met before the worker can arrive at a destination. Use the arrows to assign a percentage between 0 and 100.
- Check Use Minimum Stop Time For Destination Arrival to trigger an automatic arrival when the Minimum Stop Time is satisfied at the route destination. Checking this reduces the number of false arrivals at the destination. This option applies only if you use mobile devices for stop arrivals and departures; if you use Telematics devices for stop arrivals and departures, the Minimum Route Completion Time at Depot setting on this page will be used instead.
- If you want unknown stops to be associated with a point of interest (POI) check Associate Unknown Stop With Nearest POI. If this option is selected, when an unknown stop occurs Roadnet Anywhere will try to associate the unknown stop with a restaurant, truck stop, large store or other point of interest in the area and display the POI as the description in the stop list. If this option is not selected, the description for the unknown stop will say unknown location.
- If you want unknown stops on a planned route to be associated with the closest service location, check Auto Create Unplanned Serviceable Stops. If this option is selected, when an unknown stop occurs Roadnet Anywhere will automatically associate the stop with the closest service location. If this option is not selected, the stop will appear in the stop list simply as an unknown stop.
Notes:This option applies only if you use Telematics devices.
- Choose an Auto Sequence Method to indicate how to handle stops that are planned on a route, but are skipped by the worker.
Important: If you use mobile devices, the option selected here will apply only if Auto Sequence Stops is also selected on this page. If you use Telematics, auto sequencing is always in use and the option selected here will be applied.
Move Next - the missed stops will be moved to the next stop on the route.
Move Last - the missed stops will be moved to the last stop on the route.
Cancel Stops - the missed stops will be canceled.
- If you use Telematics devices, enter information for the options in the Telematics Devices area, so Roadnet Anywhere knows how to determine if a route started early or late, when to auto-complete when no more information is being received from a device, how to differentiate between unplanned stops at mid-route depots and arrivals at the final destination depot, and how to determine break arrival and departure times.
Note: This option applies only if you use Telematics devices.
Early Route Departure Tolerance - indicates how much earlier the equipment can begin moving before the planned route departure time and still have Roadnet Anywhere use the planned route. If the equipment begins moving even earlier than the time specified, a new route is generated by Roadnet Anywhere. Enter the time in HH:mm format. The default setting is 4 hours.
Late Route Departure Tolerance - indicates how much later the equipment can begin moving after the planned route departure time and still have Roadnet Anywhere use the planned route. If the equipment begins moving after the time specified, a new route is generated by Roadnet Anywhere. Enter the time in HH:mm format. The default setting is 24 hours.
Inactive Route Auto-Completion - indicates the length of time the equipment must be stationary or no GPS is received before the route is automatically completed. Roadnet Anywhere uses the time at which the inactivity began as the route completion time. If the vehicle is inactive at a planned stop, the route is not automatically completed until both the planned stop time and the length of time entered in the Inactive Route Auto-Completion Time field are met. For example, if the Inactive Route Auto-Completion Time is set to 4 hours and the equipment is at a stop with a planned stop time of 20 minutes, the route is not considered inactive until the 20 minutes have passed for the planned stop. If the equipment is stopped at an unplanned stop, the route is automatically completed after 4 hours. Enter the time in HH:mm format. Enter 0:00 to indicate the option is disabled. The default setting is 6 hours.
Minimum Route Completion Time at Depot - indicates the minimum length of time that equipment must be stationary at a depot in order to have the route automatically marked as completed. This setting allows Roadnet Anywhere to know if an unplanned stop at a depot is a mid-route depot, or if the worker has arrived at the final destination and the route is finished. You should enter a duration of time that slightly exceeds the maximum duration of time that a worker might spend at a mid-route depot. For example, if your workers occasionally need to stop at mid-route depots during their routes, and the time spent at a mid-route depot is always less than an hour, you could set the Minimum Route Completion Time At Depot to one hour. Enter the time in HH:mm:ss format.Note: For planned routes, a route will be completed as a result of meeting the Minimum Route Completion Time At Depot only if the worker is stopped at the depot that is planned to be the destination depot. On planned routes, the Minimum Route Completion Time At Depot setting does not apply to any planned mid-route depots or to unplanned stops at a depot that is not the planned destination depot. For unplanned routes, the Minimum Route Completion Time At Depot setting applies to all stops at depots. On unplanned routes, any stop at a depot will be initially marked as a mid-route depot and then will be automatically changed to the destination depot (and the route will be completed) if the Minimum Route Completion Time At Depot is met.
Minimum Break Duration - indicates the percentage of a break's planned length that must pass before the time spent is considered a completed break. Roadnet Anywhere uses the setting to determine if extra time on a route is added to stop service times or considered a break. If the extra time meets the Minimum Break Percentage requirement, the break is added. If it does not meet the requirement, the time is split between the stops or cluster of stops. The Minimum Break Duration is used with the Best Fit option of the Break Arrival/Departure Method. Use the arrows to assign a percentage between 0 and 100. The default setting is 70%.
Break Arrival/Departure Method - indicates how Roadnet Anywhere determines the arrival and departure times of a break. Choose a Break Arrival/Departure Method from the list.According to Sequence—The arrival/departure times for a break are determined by the break's projected arrival and departure times on the route.Best Fit—The arrival/departure times for a break are determined by when the break is considered complete using the Minimum Break Duration setting. The Minimum Break Duration must have a percentage defined.Determined by Duty Status—The arrival time for a break is determined by when the worker goes off duty. The departure time for a break is determined by when the worker returns to duty. A break is added if one is not available on the route.
Route Assignment Mode - indicates how Roadnet Anywhere automatically assigns a Telematics device to a route that has started. Select a Route Assignment Mode option. If you are more confident that the equipment assignments on your routes are correct, choose By Equipment. If you are more confident that the workers assigned to your routes are correct, choose By Worker. You can also disable auto-assignment of routes.Note: The Early Departure Tolerance and Late Departure Tolerance Telematics settings are used to determine which routes are considered when assigning a Telematics device.By Equipment—assigns the Telematics device to a route based on the equipment that is running the route. When a vehicle leaves the depot, Roadnet Anywhere finds the route which has the equipment assigned to it. The Telematics device is then assigned to that route.Note: When a Telematics device is installed, it is assigned to a piece of equipment in Maintenance.By Worker—assigns the Telematics device to a route based on the worker running the route. Roadnet Anywhere uses the worker Login to determine the route that has started. The Telematics device is assigned to that route. Disabled—The Telematics device is not assigned to a route automatically. A route is selected by the worker through Roadnet Mobile. You must use Roadnet Mobile to load routes if you choose Disabled.
If you use Mobile Devices, define the options in the Mobile Devices area, so Roadnet Mobile knows how to determine if a stop should be auto arrived or auto departed, how breaks or layovers should be handled for auto arrivals and auto departures, and if stops should be auto sequenced.
- Check Auto Arrive at Stop to allow the mobile device to automatically detect when a worker is at a stop so that workers don't have to press any buttons when arriving. Workers can still manually press the Arrive button to arrive stops if needed. The mobile device must be on the In Transit or Proceeding To screen for an automatic arrival to occur. If the worker is on any other screen, such as when looking at a stop's details, no automatic arrivals will occur. If checked, the stop will be automatically arrived when the Minimum Stop Time and Minimum Transit Speed are met while the vehicle is within the delivery radius of a location. If unchecked, the worker must manually arrive the stop on the mobile device.
Note:This option applies only if you use mobile devices; it does not apply if you use Telematics. The Auto Arrive/Depart feature will always be in use for Telematics users.
- Check Auto Depart from Stop to allow the mobile device to automatically detect when a worker leaves a stop so that workers don't have to press any buttons when departing. Workers can still manually press the Depart button to depart stops if needed. The mobile device must be on the At Stop screen for an automatic departure to occur. If the worker is on any other screen, such as when looking at a stop's details, no automatic departures will occur. If checked, the stop will be automatically departed when the vehicle leaves the delivery radius of a location. If unchecked, the worker must manually depart the stop on the mobile device.
Notes:This option applies only if you use mobile devices; it does not apply if you use Telematics. The Auto Arrive/Depart feature will always be in use for Telematics users.
For auto arrive and depart to work properly when locations are close in proximity, it is recommended that you check both the Auto Arrive at Stop and Auto Depart from Stop options.
- Check Auto Departure From Origin to allow workers to be automatically departed from their origin when beginning their route.
Note: This option applies only if you use mobile devices; it does not apply if you use Telematics. Telematics users will always be automatically departed from their origin when beginning a route.
- Check Auto Arrival At Destination to allow workers to be automatically arrived at their destination when completing their route.
Note: This option applies only if you use mobile devices; it does not apply if you use Telematics. Telematics users will always be automatically arrived at their destination when completing a route.
- Check Auto Cancel Remaining Stops to allow planned stops that were not serviced and any breaks/layovers that were not taken to be automatically canceled when the worker arrives at the destination. When using a mobile device, if Auto Cancel Remaining Stops is not selected, a worker must resolve any scheduled stops that were not serviced and any breaks not taken before they will be automatically arrived at their destination. The Auto Cancel Remaining Stops option only applies if you also have Auto Arrival At Destination selected.
Note: This option applies only if you use mobile devices; it does not apply if you use Telematics. For Telematics users, remaining stops will always be automatically canceled upon arriving at the destination.
- Check Push Breaks/Layovers to have breaks and layovers automatically moved on the route if the worker chooses to take them later. If this option is checked and the worker chooses to service the next stop instead of taking the scheduled break, the break will automatically be moved until after that stop. For example, if the worker is scheduled to take a lunch break after Stop 3 but instead chooses to service Stop 4 before breaking for lunch, the break will be moved to after Stop 4.
Note: This option applies only if you use mobile devices and is not available for use with Telematics.
- Check Auto Sequence Stops to allow stops that are not being delivered in the planned sequence to automatically arrive and depart. If this box is not checked, routes are expected to be run in exact planned order. Only stops that are being delivered in their planned sequence will be automatically arrived and departed. If this option is enabled, you must choose an Auto Sequence Method to indicate how to handle stops that are planned on a route, but are skipped by the worker.
Note: This option applies only if you use mobile devices; it does not apply if you use Telematics. For Telematics users, auto sequencing will always be in use and will function based on the Auto Sequence Method selected on this page.
- Check Require Task Completion to ensure the worker finishes all required tasks before departing a stop when the Auto Depart From Stop and/or Auto Departure from Origin setting is enabled. If this box is checked and the worker tries to depart before finishing required tasks, the worker receives a notification that required items are not completed. The worker must complete them before Roadnet Mobile will auto depart or allow the worker to manually depart.
- Choose a Break/Layover Departure option to indicate how breaks and layovers will be departed on the route. If auto arrive/depart is enabled, and the worker has finished a break or layover, you must choose how the route will know to begin again. Select one of the options below.
Note: This option applies only if you use mobile devices; it does not apply if you use Telematics. For Telematics users, breaks and layovers will always be departed by GPS.
Manual Only - the worker will manually choose depart when the break/layover is over
By Projected Time - the break/layover will auto depart when the projected departure time is passed.
By GPS - If the break/layover is planned, it will end when the worker's equipment moves away from the service location for the stop occurring immediately before the break/layover. The worker must move away from the service location by the distance set by the service location's service radius. If the break/layover is not planned and is added by the worker, it will end when the worker's equipment moves the default service radius distance away from where the worker initiated the break/layover.
